Privacy policy

Last updated 2026-09-14

Sailnotice is a tool that sailing clubs use to send email to their members and event participants. This policy explains what personal data we handle and why. It covers the Sailnotice service itself; each club is the data controller for its own contact list and is responsible for its own privacy notice to recipients.

Who we are

Sailnotice is operated by Uncode. Contact: support@uncodemedia.com. If you received an email sent with Sailnotice, the sender (your club) decides what is sent to you — contact them directly, or use the unsubscribe link in any email.

Data we process for clubs (as processor)

On behalf of each club we store the contact records the club imports or adds (name, email, member/guest status), the lists the club creates, the sendouts it writes, and delivery and unsubscribe status. We process this only to provide the service and on the club's instructions.

Data we process as controller

For people who run a club workspace we store the sign-in email address and basic account/usage data needed to operate and secure the service and to bill the club.

Legal basis

For account data: performance of a contract and our legitimate interest in running the service. For recipient data: we act as processor; the club relies on its own legal basis (typically membership, or consent given when signing up for an event).

Email sending

Sendouts are delivered through an email infrastructure provider. Standard delivery metadata (delivered / bounced / opened, where available) is processed to show the club delivery statistics.

Retention

Club contact data is kept for as long as the club's account is active and is deleted (or returned) within 30 days of the club closing its account or asking us to delete it. Unsubscribe records are kept as long as needed to keep honouring the opt-out.

Your rights

You can ask for access, correction, deletion, restriction, portability, or to object. For recipient data, contact the club first; we will support them. For account data, contact support@uncodemedia.com. You may also complain to your data protection authority.

Unsubscribing

Every sendout carries a one-click unsubscribe link. Unsubscribing stops all sendouts from that club and cannot be reversed by the club without your request.

Sub-processors & location

We use a small number of sub-processors for hosting and email delivery, chosen to keep data within the EU/EEA or under equivalent safeguards. A current list is available on request.

Cookies & local storage

Sailnotice doesn't use advertising or analytics cookies, and we don't track you across other sites. The only data kept in your browser is stored locally (not as a cookie): your sign-in session, and your language preference. Both exist only to make the service work and aren't shared with anyone. Our sign-in form uses Cloudflare Turnstile, a privacy-friendly check that helps stop automated abuse — see Cloudflare's own privacy policy for how it works.

Changes

We will post any changes here and update the date above.
